Organizing an
Office Filing System I spent most
of my working life in an office environment, both in major
corporations and small business. I've had office space in
my home, and I still do. One thing I've found was a
challenge in all these circumstances was
organizing an office filing system.
Believe me, I've tried many ways, some of which were part of
a larger filing system in the company, some I created myself
for my own use, and for those in my department. Here are some
of the traditional methods:

Alphabetical. Just
put every file in alphabetical order, regardless of
subject matter. Start at the front of one file
drawer and just keep filing until you reach the end
of the last drawer. |

Problem: It's
not totally logical, so you won't
automatically know where to find a specific
file. Also, when you need to add a file,
the particular drawer it goes into may be
already full, so you have to start moving
files over into other drawers to make room.
This has a domino effect and can take over
your life!

Numerical. Start at
the beginning of a specific numbering system (maybe
just 001) and add files as needed. This system has
to be supplemented by a readily accessible printed
index so that you can find the location of each
file. |

Problem: Same
as alphabetical

By business area,
topic or department. You have,
for example, a section for Sales, one for Finance,
one for Production, etc. But within each section,
you also have to have a system, which usually means
using alphabetical or numerical system within each
section.
Problem: You've
just added another layer to the system,
which makes the same complications
worse.
